Read and answer your centre's email in the DiveOps inbox, beside WhatsApp. Customers keep writing to the address they already know. This page has the steps for every kind of mailbox.
When you'd use this
- You want booking emails in the same inbox as your WhatsApp chats, so nothing gets missed.
- You want to reply to customers from DiveOps without opening your email.
Before you start
- You need to be a manager or owner in DiveOps.
- Email in the inbox has to be switched on for your centre. If Settings, Integrations, Email says it is not switched on yet, ask DiveOps support.
- Have the email address your customers write to, like bookings@yourcentre.com, and its password.
How to connect your email
- Go to Settings, then Integrations, then Email.
- Type the address your customers write to and press Continue. DiveOps works out who runs your email and opens the best way to connect it.
- Follow the steps on the screen. They are the same as the section for your email below.
- Press Send a test email to check it works. The card says Connected once the test arrives.
Which way to connect
There are two ways. The screen picks the best one for your email, and you can switch.
- Connect with the password. DiveOps checks your mailbox every 2 minutes. Your replies go from your own address, and a copy is kept in your Sent folder. Many email companies need an app password for this: a separate password you make once, just for DiveOps. It never gives anyone your normal password.
- Forward a copy. You set your email to forward a copy of every new email to your own DiveOps address (shown on the Email page). Nothing changes for your customers. Your replies go from DiveOps in your centre's name, and the customer's answer comes back to your inbox.
Not sure which email you have? Look at the website where you read your email. If it is mail.google.com it is Gmail or Google Workspace. If it is outlook.com or outlook.office.com it is Microsoft.
Gmail
Best way: connect with an app password.
- Turn on 2-Step Verification in your Google Account, under Security, if it is not on yet.
- Open myaccount.google.com/apppasswords.
- Type DiveOps as the name and press Create.
- Copy the 16 letters Google shows and paste them into the password box in DiveOps.
No App passwords page? 2-Step Verification is off, or your account only signs in with a security key.
To forward instead:
- In Gmail on a computer, open Settings (the cog), then See all settings, then Forwarding and POP/IMAP.
- Press Add a forwarding address, paste your DiveOps address, then Next and Proceed.
- Gmail sends a confirmation code to DiveOps. It shows on the Email page within a minute: copy it into Gmail and press Verify.
- Choose Forward a copy of incoming mail, pick your DiveOps address, keep Gmail's copy in the Inbox, and press Save Changes.
Google Workspace (your own domain on Google)
Best way: forwarding. Google turned off password sign-in for most work accounts in 2025.
Follow the Gmail forwarding steps above. If there is no Add a forwarding address button, whoever runs your Google account has switched forwarding off. The Email page has a message you can copy and send them. It asks them to turn on Allow users to automatically forward incoming email to another address in the Google Admin console (Apps, Google Workspace, Gmail, End User Access).
Outlook.com and Hotmail
Best way: forwarding. Microsoft no longer lets other apps connect with a password. Signing in with Microsoft is coming soon.
- Sign in at outlook.com and open Settings (the cog), then Mail, then Forwarding.
- Turn on Enable forwarding and paste your DiveOps address.
- Tick Keep a copy of forwarded messages, then Save.
Microsoft 365 (your own domain on Microsoft)
Best way: forwarding. Microsoft 365 blocks forwarding to outside addresses until your admin allows it, so start there.
- Ask whoever runs your Microsoft 365 to allow forwarding to outside addresses. The Email page has a message you can copy and send them. It asks them to set Automatic forwarding rules to On in the Microsoft Defender portal (Anti-spam outbound policy).
- In Outlook on the web, open Settings (the cog), then Mail, then Forwarding.
- Turn on Enable forwarding and paste your DiveOps address.
- Tick Keep a copy of forwarded messages, then Save.
If the test email never arrives, the admin step has not been done yet. This also applies to Microsoft 365 email bought through GoDaddy.
iCloud Mail
Best way: connect with an app-specific password.
- Sign in at account.apple.com. Two-factor authentication must be on.
- Open Sign-In and Security, then App-Specific Passwords.
- Press the add button, type DiveOps, and copy the password Apple shows.
- Paste it into the password box in DiveOps.
Changing your Apple Account password cancels app-specific passwords. If that happens, make a new one and enter it again on the Email page.
To forward instead: sign in at icloud.com/mail, open Settings, then Mail Forwarding, tick Forward my email to, paste your DiveOps address, and save.
Yahoo Mail
Best way: connect with an app password.
- Sign in to your Yahoo Account Security page.
- Under External connections, press Create app password.
- Type DiveOps, press Generate password, and copy it.
- Paste it into the password box in DiveOps.
Yahoo only lets paid Yahoo Mail Plus accounts forward. On a free account, use the app password.
AOL Mail
Best way: connect with an app password. AOL cannot forward your email.
- Sign in to your AOL Account Security page.
- Press Generate app password.
- Type DiveOps, press Generate, and copy the password.
- Paste it into the password box in DiveOps.
Zoho Mail
Best way: connect with the password.
- In Zoho Mail open Settings, then Mail Accounts, and pick your address.
- Tick IMAP Access and save.
- If you sign in to Zoho with two-factor, make an app password at accounts.zoho.com (Security, then App Passwords) and use that.
New free Zoho accounts cannot connect or forward. A paid Zoho plan can do both. To forward on a paid plan: Settings, Mail Accounts, your address, then Forwards. Zoho sends a confirmation email to DiveOps: open it in your DiveOps Inbox and copy the code into Zoho.
Fastmail
Best way: connect with an app password.
- In Fastmail open Settings, then Privacy & Security.
- Under Connected apps & API tokens, press Manage app passwords and access.
- Choose Mail, Contacts & Calendars, name it DiveOps, and copy the password.
- Paste it into the password box in DiveOps.
GMX and mail.com
Best way: connect with your normal password, after one setting.
- In your mailbox open Settings, then POP3 & IMAP, and allow access.
- Type your normal password into DiveOps.
GMX switches this off again if it is not used for a long time. If the Email page says the address needs attention, switch it back on and enter the password again.
IONOS
Best way: connect with the password of the email address. This is not your IONOS customer login. You can set a new email password in IONOS under Email.
To forward instead: in IONOS open Email, press your address, then Forwarding Address, then Add Forwarding, and paste your DiveOps address.
Hostinger
Best way: connect with the password of the email address. In hPanel, Emails, then Manage, you can see the settings or set a new password.
To forward instead: in hPanel open Emails, Mailboxes, then Forwarders. Press Create forwarder, pick your mailbox, paste your DiveOps address, keep a copy, and press Create.
GoDaddy
Best way: connect with the password of the email address, not your GoDaddy account login. DiveOps fills in the server details for you.
Forwarding to outside addresses only works on some GoDaddy email plans. To forward: in GoDaddy webmail open Settings, Preferences, then Forwarding, and paste your DiveOps address. If GoDaddy sends a confirmation email, open it in your DiveOps Inbox and follow it.
Bought Microsoft 365 from GoDaddy? Follow the Microsoft 365 section instead.
Titan email (Namecheap, Hostinger and others)
Best way: connect with the password.
- In Titan webmail open Settings and switch on access for other email apps.
- Type your email password into DiveOps. If you sign in to Titan with two-factor, make a Titan app password and use that.
To forward instead: Settings, Preferences, then Forwarding. If Titan sends a confirmation email, open it in your DiveOps Inbox and follow it.
Proton Mail
Best way: forwarding. Proton only connects through an app on your own computer, so DiveOps cannot connect with a password. Proton only forwards on paid plans.
- In Proton Mail open Settings, All settings, then Forward and auto-reply.
- Press Add forwarding rule and paste your DiveOps address.
- Press Send confirmation email, then open it in your DiveOps Inbox and press its confirm button.
Your web host (cPanel and others)
Best way: connect with the password of the email address. DiveOps usually finds the server details for you.
- cPanel never shows an existing password. If you do not know it, open Email Accounts in your hosting control panel, set a new password, then paste it into DiveOps.
- If DiveOps cannot find the server details, look in your host's help pages under "email settings" or "Connect Devices". You need the incoming and outgoing mail server names and their port numbers.
To forward instead: in your hosting control panel open Email, then Forwarders. Press Add Forwarder, type the address to forward, choose Forward to Email Address, paste your DiveOps address, and press Add Forwarder.
Tips
- Connect each address once. You can connect up to 5 addresses.
- Your DiveOps address is only for forwarding. Customers never see it.
- Disconnecting stops new emails arriving. If you forwarded, also turn the forwarding off in your email.
Troubleshooting
- The password was refused → most email companies need an app password, not your normal one. Follow your section above, then press Enter the password again.
- The test email never arrives → check the forwarding is saved and points to your DiveOps address. On Microsoft 365 your admin must allow outside forwarding first.
- The address says Needs attention → DiveOps could not check it three times in a row, usually because the password changed. Press Enter the password again.
- Could not reach the server → open Server details and check the server names with your email company.
