Staff book time off in My Leave; managers approve it and see who is away in Team Calendar. Annual-leave allowances and balances are tracked automatically, half-days included.
For staff: My Leave
Find it under People & Pay -> My Leave.
- Your balance is at the top: your annual allowance, the days taken or booked this year, and what is remaining.
- Press Request leave, choose the type (annual, sick, unpaid, other), the dates, and whether any day is a half day (morning or afternoon). It shows the total days, then Submit request.
- Each request shows its status: Pending approval, Approved, Declined, Cancellation pending or Cancelled.
- While a request is Pending you can Withdraw it.
- Once a request is Approved, you can Request cancellation if you no longer need the leave. A manager has to approve the cancellation before the days come back onto your balance.
If your login is not linked to a staff record yet, ask a manager to link it.
For managers: Team Calendar
Find it under People & Pay -> Team -> Team Calendar (managers and office roles).
- Requests tab: everything waiting for you - new bookings and cancellation requests - with Approve and Decline on each. Declining lets you add a note. The tab shows a count of what is waiting.
- Calendar tab: a month timeline where each team member with leave is a row and a bar shows the days they are off. A solid bar is approved, a dashed bar is awaiting approval, and the colour is the leave type. Weekends are shaded and today is marked.
- Allowances tab: every active member with their allowance, days taken this year and remaining. Press Set to open their Team profile.
- Log leave lets you record leave on behalf of a team member.
- A red badge on the Team menu item tells you when leave is waiting for a decision, so you do not have to keep checking.
Setting an allowance
Open a team member from Team, go to the Payroll section, and set Annual Leave Allowance (days). Half-days are allowed (for example 20.5). Only annual leave counts against the allowance.
Emails
When you approve or decline a request - or approve or decline a cancellation - the staff member gets an email confirming it.
